The tenant ledger that ends the exit argument

Almost every deposit dispute is a disagreement about history. A dated ledger makes the history a fact.

What a ledger line holds

Date, amount, mode, reference and the period covered. Five fields. The period matters most — a payment made in November can be for October, and only the ledger knows which.

Separating rent from deposit

Rent is income. A deposit is a liability you are holding. Mixing them flatters the month's collection and hides the money you owe back. Keep two columns and the exit calculation becomes arithmetic instead of negotiation.

The exit statement

At vacate: deposit held, rent dues, agreed deductions with a reason, and the refund amount. One page, dated, signed by both. This document is the reason to keep a ledger at all.

When a tenant disputes a line

Produce the receipt number and the date. If the entry was wrong, correct it with a dated note rather than deleting it — an edited ledger with no history looks worse than an honest correction.

Questions people ask

How long should I keep tenant records?

At least three years after the tenancy ends for money claims, and longer if your state's tenancy law or your accountant requires it. Keep the agreement and exit statement with the ledger.

Can a tenant see their own ledger?

Yes, and showing it is usually the fastest way to settle a question. Send a copy rather than describing it over the phone.
